Alma's Metadata Editor

The Metadata Editor (MD Editor) in Alma can be used to:

  • Create and edit bib records
  • Create and edit holdings records
  • Add local extensions to bib and holdings records
  • Create rules
  • Use search indexes
  • View record versions
  • View relate inventory
  • Share IZ records with the Network
  • Merge & combine inventory

Roles

One of the following roles is requires to work with metadata (excluding holdings records):

  • Cataloger
  • Catalog Manager
  • Catalog Administrator


One of the following roles is requires to work with holdings records in the MD Editor:

  • Physical Inventory Operator
  • Physical Inventory Operator Limited
  • Purchase Manager
  • Purchase Operator
  • Repository Manager
  • Physical Inventory Delete (required to delete holdings records)

Keyboard Shortcuts (Hotkeys)

Keyboard shortcuts can be accessed from the Metadata editor drop-down menus (File, Edit, & Tools). Many functions have a CTRL + shortcut that can be used.

"Always On" Feature

The "Always on" feature allows you to keep the MD Editor always on and running in the background, making navigating to and from it easier and more efficient. With the a click of an icon, users can leave the MD Editor to perform other workflows in Alma and easily return to the MD Editor and resume working where they left off.

The "Always on" functionality of the MD Editor allows:

  • The MD Editor to be opened no matter where you are in Alma
  • The MD Editor to run in the background when the user is not in the MD Editor (much like any open desktop application)
  • Users to navigate to and from the Metadata Editor using icons without using the Main Menu
  • Records that are open in the MD editor remain open so users can leave the MD Editor and return and resume where they left off

Toggle "Always on" on and off with the icon in the bottom left of the Alma screen:
