Relinking Item Records

Item records can be relinked to another bib record:

  • The holdings record links the item record to the bib record
  • A holdings record needs to exist for an item record to be relinked to another bib record
    • An existing holdings record can be select to relink the item 
    • A holdings record can be created if a holdings record does not exist 

Relinking Item Records

  1. Perform a “Physical Title”
  2. Click Items
  3. Check the box next to the item being relinked
  4. Select Relink to another bib from the “Manage Selected” drop-down menu
  5. Click on the “Select from List” icon to search for the bib record
  6. Perform a repository search and make sure the correct zone is selected
  7. Click Select. The holdings record the item will be relinked
    1. If not holdings record exists for the record being selected, click “Add new Holdings” if there is no holding record or the item be in a different location
      1. The MD Editor will open
      2. Click into MARC 852
      3. Edit the first indicator
      4. Populate $$b (sublocation or collection) and $$c (shelving location)
      5. Click File>Save and Release Record
    2. Click Back
    3. Select the Holdings
    4. Click Select
  8. Click Select
  9. Skip step 8 if it is not the last item on a holdings record
    1. Select “Delete bibliographic record (unless other holdings present)
    2. Click Go
  10. Click Back 
  1. Perform a “Physical Items” repository search
  2. Click Edit Items
  3. Click Relink to another bib
  4. Click on the “Select from List” icon to search for the bib record
  5. Perform a repository search and make sure the correct zone is selected
  6. Select the holdings record the item will be relinked
    1. Click “Add new Holdings” if there is no holding record or the item be in a different location
      1. The MD Editor will open
      2. Click into MARC 852
      3. Edit the first indicator
      4. Populate $$b (sublocation or collection) and $$c (shelving location)
      5. Click File>Save and Release Record
      6. Click Back
      7. Select the Holdings
      8. Click Select
  7. Click Select
  8. Skip step 8 if it is not the last item on a holdings record
    1. Select “Delete holdings record
    2. Click Go
  9. Click Save from the Physical Item Editor screen
