Thumbnails

Thumbnails are generated by a nightly process that runs on both SOAR and SDR. Thumbnails are created from pdf and image files.

While both repositories allow for multiple files to be added to one item record

  • SOAR generates thumbnails for all files added
  • SDR generates a thumbnail for only the first file listed

Note:  Thumbnails are not generated on the SOAR Staging (test) server.

Add/Edit Thumbnails

Occasionally, thumbnails will not generate for an item, or the thumbnail generated by the system is not desired. In these cases, you can create a thumbnail using the following process in either SOAR or SDR.

  • While logged in as an admin, navigate to the item that requires a thumbnail
  • In SOAR: scroll down to Context in left sidebar and select Edit this item
  • In SDR: click on Edit item in top right of item page or hover over tool sidebar on left and select Edit > Item
  • Copy the exact file name for the primary bitstream, including the file extension. This will be used to name the image you choose for a thumbnail
  • Open the primary bitstream and create a screenshot of it (assuming you want an image from the primary file), or create a screenshot of whatever image you would like for a thumbnail
  • Save the screenshot using the bitstream file name you copied (for example, if the primary bitstream is named bitstream.pdf, you will name your screenshot bitstream.pdf.png, or bitstream.pdf.jpg)
  • In the item editor, click on the "Item Bitstreams" tab (SOAR) or "Bitstreams" tab (SDR)
  • For SOAR:
    • Scroll down to the bottom of the bitstream list and click on "Upload a new bitstream"
    • Under "Bundle:" choose "Thumbnails"
    • Under "File," click "Choose File" and navigate to your saved screenshot
    • Upload and save
  • For SDR:
    • Click green "Upload" button at the top
    • Under "Bundle" select THUMBNAIL
    • Click "Create Bundle"
    • Drag and drop or Browse to your saved screenshot
    • Save
  • You may need to refresh the item page to view the new thumbnail, but it should be visible immediately
