Alma Fulfillment

A training resource for anyone working with Fulfillment functions in Alma.

Overview

Alma uses some Fulfillment vocabulary to mean very specific things:

Claimed Returned items were checked out by a patron and the patron claims they have returned the items.

Lost items were checked out by a patron and are either extremely overdue (and assumed lost) or were declared lost by the patron.

Found item was marked Claimed Returned or Lost and has been found either by the patron or by staff.

Missing items were not checked out by a patron. They are supposed to be in place on the shelf and are not.

 

Claimed Returned and Lost Items

How do I change a loan status to "claimed returned?"


Answer

Change Loan Status to Claimed Return

  1. Select/Verify current location
  2. Go to Fulfillment > Manage Patron Services
  3. Scan/Type patron ID (If typing ID, click Go)
  4. On the Loans tab (the default), change the Loan Display drop-down to All Loans
  5. Find the item in the list
  6. Click the row action item list icon (the ellipsis) and select Claimed Return
  7. Click OK to complete

Note: If an item has been marked Lost, you won't be able to change it to Claimed Return. First you need to mark the item as Found, then change it to Claimed Return.

How do I change a loan status to "lost?"


Answer

Note: Only items on loan can be flipped to Lost status. A system job marks items that are 45 days overdue as lost automatically. However, staff can manually mark an item as Lost if the patron reports it as lost, stolen, or otherwise unreturnable.

  1. Select/Verify current location
  2. Go to Fulfillment > Manage Patron Services
  3. Scan/Type patron ID (If typing ID, click Go)
  4. On the Loans tab (the default), change the Loan Display drop-down to All Loans
  5. Find the item in the list
  6. Click the row action item list icon (the ellipsis) and select Lost
  7. Click OK to confirm the replacement charge

Found Items

How do I change a loan status from "claimed return" or "lost" to "found?"


Answer

If a patron finds an item thought to be Claimed Returned or Lost:

  1. Select/Verify current location
  2. Go to Fulfillment > Manage Patron Services
  3. Scan/Type patron ID (If typing ID, click Go)
  4. On the Loans tab (the default), change the Loan Display drop-down to All Loans
  5. Find the item in the list
  6. Click the row action item list icon (the ellipsis) and select Found
  7. Click OK to complete
  8. The item will return to a status of Loan, and any replacement fees will be removed

Missing Items

Items are only marked missing when they are missing from the shelves. Any item on loan to a patron may be marked Lost or Claimed Returned, as described above.

If you are pulling items to fill requests and one is missing from the shelf, use your local workflow to confirm and mark it missing. You might do this while processing the pull list; see the Processing the Pull/Pick List and Hold Shelves page in this guide for this process.
