View the Patron Record

To bring up a patron's record:

  1. Go to Fulfillment >> Manage Patron Services
  2. Scan in the patron's card number
  3. Click on the appropriate area of the patron record

 

Active Balance - Fines, fees, or other charges

Loans tab - To check out an item, or display all loans on this record

Returns tab - To return an item, or display all recent returned items

Requests tab - To display all requests for this patron

How do I loan and return items?

Currently at Location

  • To check-out physical inventory to a patron, log in to Alma and verify that your current location is the circulation desk where you want to work. If not, click the location icon and select the desired location:

  • You can select ‘Always show current location’ to display your location in the menu bar.

Loan an Item

  • In the Fulfillment menu, click ‘Manage Patron Services.’ If you don't see this option, make sure that the account that you're using has the appropriate circulation role(s).

  • Scan the patron’s library card or use the list icon to find the patron by barcode or name and click Go:

  • The patron’s record is opened to the Loans tab.
  • Scan the item barcode or type the item’s barcode and click Ok. The item is checked-out to the patron.
  • Click Done to finish the transaction and generate a receipt if configured.

That’s the basic check-out procedure: swipe the patron’s card, scan the item barcode, click done. 

Let’s look at some possible variations.


Loan an Item via Proxy

Let’s say the patron is allowed to borrow material on behalf of another patron, for example a teaching assistant on behalf of a faculty member.

  • Before swiping the patron’s card, select the ‘Use proxy’ checkbox.

  • Scan the patron’s card and, and then select the patron on whose behalf our patron can check-out items, and click Go.
  • We now see the other patron’s record. Notice that Alma indicates that our patron is serving as a proxy in this transaction.
  • Scan the item barcode to create the loan, as before. The loan is charged out to the other patron, and not our patron, who is only serving as a proxy.​

No Item Barcode

  • If the item barcode has fallen-off or is illegible, you can search for the barcode by clicking the list icon and conducting a simple or advanced repository search for the physical item - for example, according to author, title, isbn, etc.

  • Click on the item entry to select it.
  • The scan field in the Patron Services screen is populated with the item barcode. Click OK, then click Done.
  • The item is checked-out to the patron.


No Item Record

Let's say you scan the barcode and get an error message: “Item not found.” This means that there is no record for this item in Alma.

  • If you have a Physical Inventory Operator role in addition to a circ desk role, you can create an item record by clicking ‘Create item.’

  • Select ‘New’ to create a new bibliographic record to which the new item record will be attached, or ‘Existing’ to create an item for an existing bibliographic record. Click ‘Choose.’
  • Existing:
    • Enter the title in the ‘Title’ field or click the list icon to conduct an All titles repository search. Select the bibliographic record and click ‘Save’.
    • The new item record is created and the item is checked-out to the patron. Behind the scenes, a work order has been created to send the item to the technical services department upon check-in.
  • New:
    • Select the Citation Type - either Book or Article - and a simple cataloging template opens.
    • Complete the Title field and the inventory information: Library, Location and Barcode. Complete any additional fields you like. Deselect the ‘Suppress from Discovery’ checkbox if you would like the record to be published to Primo or Summon, and click Save.
    • Behind the scenes, a new bibliographic record is created, with a new holdings and item record attached. The item is checked-out to the patron and a new work order is created, as before.

Renewals

How do I renew an item?


Answer

  • Patrons can renew their own items online in Primo.
  • In Alma, you can renew one, a few, or all items on loan to a patron.

To renew an item:

  1. Go to Fulfillment > Manage Patron Services
  2. Scan or manually type patron ID number (if manually typing ID, click on Go)
  3. Go to Loan Display and select All Loans
  4. There are three renewal choices depending on what the patron wants to renew:
    1. Renew all loans: Renew all by clicking Renew All above the loaned items list
    2. Renew individual items: Individually renew an item by clicking on the the ellipsis next to the item and selecting Renew. Repeat for each item you want to renew.
    3. Using the checkboxes: Renew or change date for specific loans by checking the boxes on the left side of list, then clicking on Renew selected or Change due date
  5. If an item fails to renew (if the item has been requested, for example), you will see an exception on the top of the screen.
    • Alma confirms how many items were or were not renewed successfully in a message with a blue background.
    • A "fail" error alert with a red background may also appear.

How do I place a request for a patron?


Answer

Generally speaking, users will submit their own requests through Primo VE.  However, it is possible for library staff to place both local hold requests and resource sharing requests on behalf of a patron.  In order to place a request for a patron, you will need the Request Operator role.

Placing a Local Hold Request for a Patron

1. Make sure the search scope is set to Institution and then perform an All Titles search for the item being requested.

2. Click the ellipsis next to the title you wish to request and then click the Request link.

3. Select Patron physical item request from the Request Type dropdown.  Additional request field will appear once you've done this.

4. Enter the requesting patron's information (name or any Alma identifier) into the Requester field, select a pickup location from the Pickup At dropdown, and then click the Submit button.

Placing a Resource Sharing Request for a Patron

1. Switch the search scope to Network Zone and then perform an All Titles search for the item being requested.

2. Once you've found a record for the item being requested, click the Resource sharing request button (you may need to click the ellipsis first depending on how your view has been customized).  A new window will open.

3. Enter the patron into the Requester field and then select a pickup location (only necessary for libraries with multiple pickup locations).

4. If you want to send the request to a specific library, click the add partners button.  A new window will open.  If you not want to send the request to a specific library, skip ahead to step 6.

5. Check the box next to the library you want to send the request to and then click the Select button.

6. Click the Save button.
