Running Out-of-the-Box Reports​

After logging into Oracle BI, out-of-the box reports can be found in the Alma folder, which is in the Catalog.

Click on the Alma folder to see the options available. Out of the box reports are in the folders labeled Reports within the subject areas (e.g., Acquisitions, Cost Per Use, Fulfillment, etc.).

To run an out of the box Acquisitions (or other area) report, click on the appropriate subject folder, then the Reports folder. Options are displayed in the window to the right. 

Click Open, which will run and display the report.

Copying and Editing Shared Reports

To edit a report that you find in the shared catalog, make sure to copy it to your own area so that you don't make changes to someone else's report. 

  • Click on Catalog
  • Under the report name (on the right side pane), click on More then click on Copy

  • Navigate to My Folders. Click on the New icon (right above My Folders), create a new foldercreate new folder
  • Paste that copied report to the new folderpaste report
  • Edit the report in “My Folder”edit report

Creating a New Report

  • Select Analysis from the Create dropdown menu.

  • Then select a subject area (e.g., cost usage, fines and fees, fulfillment, etc.) from that menu.

Example:

Fulfillment report for the number of loans by item location, location code and year loaned:

  • Select Location Name and Location Code from Item Location at Time of Loan by double clicking on them or by dragging and dropping to the top right-hand window.

  • Do the same thing to select Loans from the Loan folder (the yellow ruler icon indicates a quantity).

  • …and the Loan Year from the Loan Date folder.

  • Click on the Results tab to run the report and see the results.

Exporting Results

On the analytics report Results tab, click on the "Export this analysis" icon

  • Choose the export file format, such as PDF, Excel, etc.
  • Export data file size limits: 65,000 rows limit to Excel, 500,000 rows limit for export in csv format

Dashboards

Dashboards in Alma Analytics allow you to configure a display with multiple reports/analyses.

To create a dashboard:

  • In Alma Analytics, Click on Create>Dashboard
  • Name the dashboard, add a description
  • Choose the location (to share the dashboard with others, location must be in the campus/institution shared folders > Dashboards subfolder)
  • Add content now, then click OK
  • Drag and drop reports from My Folders or Shared Folders (from the left side pane)
  • Add Dashboard Objects, e.g. Text box (from left side top pane)add content to dashboard
  • Preview the dashboard
  • Save the dashboard (must save the dashboard with content before running it)save dashboard


Note: You may reuse Dashboards from the shared Catalog area, but you need to follow these steps to archive them and rebuild them, rather than just copy and paste them into a local folder.
